so you want to be an administrative
assistant well it's a good role to get
into an admin assistant is a sought
after position in all companies and in
all industries
the admin assistant helps a company run
smoothly an admin assistant works hard
and has to think on their feet they must
be good communicators not scared of
change and know how to manage their time
and the time of others
so the question is how do you become an
admin assistant without any experience
well you have to do a bit of work in
preparation before you become one and
then after you get your first role as an
admin assistant you must remain relevant
and continue to learn
so let's get started with the nine
things you should do to help you secure
a job as an admin assistant
are you ready
number one learn how to type you don't
have to be the fastest typist but you do
need to know how to type properly and
not with two fingers there are courses
on youtube and online to help you learn
how to do this
it may take time to learn but it will
happen number two learn the basics of
microsoft office 365. by that i mean
learn how to create a basic presentation
using powerpoint learn the essential
rules
they are important in creating a
powerpoint presentation
learn how to use basic word skills
such as creating word documents
formatting inserting images creating
tables and checking grammar and spelling
learn the basics of excel spreadsheets
such as pivot tables formulas charts and
graphs there are so many short courses
online in person or on youtube however i
recommend courses that offer a
certificate to help you get your foot in
the door to becoming an admin assistant
number three
email etiquette when you are sending an
email especially to someone outside your
company you have to be aware that what
you put in your email and how you word
your email is a reflection not only on
you but on your company
learn about email etiquette i will leave

number four
learn how to manage diaries an admin
assistant must be able to schedule
meetings and appointments through either
google calendar or outlook you must be
aware of time zones when booking
meetings out of state or country
this is extremely important because if
you get the time zone wrong the person
you are booking the meeting appointment
or travel for may miss the scheduled
appointment in their diary because the
time is incorrect
number five learn how to book travel it
is important to book the right date and
time of any travel and add it to the
person's calendar once again time zones
are important here because if you get
the time zone wrong they could miss
their flight there is so much to learn
and consider with booking travel and to
help you learn about it i have a video

number six
learn the basics to cater for meetings
some organizations require the admin
assistant to organize catering for some
meetings
i don't have a video to explain this but
i have noted a few things to consider
find out how many people are attending
the meeting if you organize the meeting
then you can look at how many people you
have accepted
find out the budget per head or the
budget per meeting find out what has
been provided in the past catering
doesn't have to be expensive it could be
coffee tea and cookies or you can just
get a cake and cut it up
if they require something a little
fancier then source an external catering
company try to cater for all diet types
for example gluten free and veganism
that way everyone is happy
if you have to organize a client event i

number seven
learn how to research
this is so important in your role as an
admin assistant there are so many things
that you may be asked to do that you
have no idea how to do
this could have something to do with
technology or you may need to embed a
video in a presentation or you may be
given a project that you have never done
before as an admin assistant it is your
job to find out how to do this
you can't tell the person asking you for
assistance i'm not going to do it
because i've never done it before
your role is to assist youtube is a
great place to start your research
number eight
create a manual
write down all the things you are
learning and put them in a notebook or
you can create a word document instead
that way you can refer to the notes when
needed
it is important you have a little manual
of things you learn especially when you
start a job you don't want to be asking
the same question twice it doesn't make
you look good i do have a video called

number nine go for it now you've put in
all that work go apply for the roles you
want you have nothing to lose
if you only have 60 of what they are
asking for in the position description
go for it the worst that can happen is
they can say no and even if there are
many no's along the way don't be
disheartened because eventually someone
will say yes
anything you don't know how to do
let them know you are willing to work at
becoming great at it
be confident research the company and
practice interviewing skills once again
